VI. Aerospacelab – Terms & Conditions for Job Applicants (with GDPR‑specific sections) 

These Terms & Conditions explain how Aerospacelab (“we”, “our”, “us”) processes and protects the personal data of individuals applying for roles within the company (“you”, “your”). This document is intended to comply with the General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable local laws.

To support HR workflows, Aerospacelab may use AI systems in a limited and controlled manner: 

4.1 AI Data Processing 

Your data may be processed by AI tools for tasks such as:

• Extracting skills or keywords 

• Assisting recruiters in organizing information 

• Preparing non‑binding summaries of materials you submit 

4.2 No Automated Decision-Making 

All hiring decisions, assessments, and interview evaluations are performed exclusively by human recruiters and hiring managers. 

AI tools never make or determine hiring decisions. 

4.3 AI in Interviews 

• Interview conversations may be summarized by AI only if you give explicit consent at the start of the meeting. 

• Without such authorization, no recording, transcription, or summary will be generated. 

• AI summaries (if created) are used only internally by HR to support decision-making. 

5. Categories of Data Collected 

We may process: 

• Identity information (name, address, contact details) 

• Career and education data (CV, cover letter, diplomas, certificates) 

• Professional information (skills, experience, references) 

• Interview related information 

• Technical metadata (application timestamps, communication logs) 

• Optional information you choose to provide (portfolio, additional documents, etc.) 

Special categories of data (GDPR Art. 9) will not be processed unless strictly necessary and processed under explicit consent or legal obligation. 

6. Data Retention Period (GDPR Principle: Storage Limitation)

• Retained for up to 3 years from your last interaction with Aerospacelab’s recruitment process  

• Securely deleted after this period unless: 

  ▪ Local laws require earlier deletion 

  ▪ You request deletion earlier (where applicable)

You may at any time request deletion of your application unless retention is mandated by law. 

7. Data Sharing and Recipients
